VAT Invoice – Essential Information

A VAT invoice is a document prepared by entrepreneurs who are active VAT taxpayers. Its primary purpose is to document the completed transaction. A VAT invoice should be prepared when the other party in the transaction is a business entity. However, if the transaction occurs between a company and an individual, the document is issued only upon the explicit request of the client.

Obligation to Issue Invoices by Active VAT Taxpayers

For companies registered as active VAT taxpayers, issuing VAT invoices is a legal requirement. Every business event – both sales and purchases – must be properly documented. One of the benefits of a VAT invoice is the ability to deduct the VAT paid (from purchases) from the VAT due (added to the net price during sales).

What Information Should a VAT Invoice Contain?

According to current regulations, a VAT invoice must include: 1. Invoice identification details – the issuance date and a unique document number. 2. Details of the issuer and the recipient – name, surname, address, VAT number (if applicable; not required for private individuals). 3. Details regarding the sale/service – the date of service provision or sale, the name (description) of the services rendered or goods sold, along with their quantity and unit of measure. 4. Payment information – net prices for individual goods or services, any discounts, VAT rates, the total net value (divided by the applicable VAT rates) and the total amount payable.

Issuing VAT Invoices in Practice

To properly prepare this document, simply include all the elements listed above. Typically, two copies are printed – one for the seller and one for the buyer. This process can be carried out independently or outsourced to an external service provider. Increasingly, invoices are issued via specialized software. In such an application, the user fills in the fields according to the system’s guidelines, which helps avoid potential errors and saves time.

VAT-Free Invoice, Formerly Known as a Receipt

A VAT-free invoice, formerly called a receipt, is a document issued by entrepreneurs exempt from VAT. Such invoices can also be issued by individuals providing private rental services for their own properties. This document does not include the VAT rate or amount, but must meet other formal requirements such as the details of the seller and the buyer, a description of the goods or services, and net prices that are also the gross amounts. The VAT-free invoice also serves as a basis for documenting the transaction and any potential claims.
